Creating a User

A user who has all or some user information, whatever its source, stored in the FlexNet Operations database is a FlexNet Operations user. FlexNet Operations users appear in the Users page of FlexNet Operations.

Information for a FlexNet Operations user can be typed manually into FlexNet Operations. If access to a directory service is configured, user data can also be imported from an LDAP directory service. FlexNet Operations users entered manually into the application are users in the FlexNet domain. If no domain is shown, the user is in the FlexNet domain. Authentication information for a user in the FlexNet domain is stored in the FlexNet Operations database. FlexNet Operations users imported from a directory service are users in that directory service domain. Authentication information for a user in a directory service domain is stored in the directory service.

To perform tasks using FlexNet Operations, a user needs one or more permissions that are defined by the application. Permissions are not assigned to users directly. Instead permissions are grouped into roles and FlexNet Operations users are assigned one or more roles.

Users assigned a role with the View and Manage Users permission can view, add, and edit users.

Create a New User

To add a FlexNet Operations user

1. Click Administer Operations, then Create a User. This link opens the Add User page.
2. On the Add User page, select FlexNet User, and click Next.
3. On the Create User page
a. Enter the First Name and Last Name of the user (required).
b. Enter the Email Address of the user (required). If this is a shared login, specify the email address of a FlexNet Operations administrator in this field.
c. Opt-in to receive email: Select whether the user should receive marketing email messages.
d. Can the user log in?: A user who can log in will be be able to access FlexNet Operations. If not, the user account will be maintained for contact purposes only.
e. User Name: If the user can log in, enter User Name used to log in to FlexNet Operations.
f. Time Zone: If the user can log in, select the user’s time zone from the drop-down list.
g. Enter the user’s contact information: Phone Number, Fax Number, Street, City, State/Province, ZIP/Postal Code, and Country.
h. Status: Leave the user status set to Active. (The records of an Inactive user remain on file, but the user no longer has access to FlexNet Operations.)

Note: Multiple entries of an incorrect password will automatically set the user’s status to Inactive. The user can be reactivated by an administrator after confirming the user’s legitimacy.

i. Shared Login: Select Shared Login if this user account will be shared by multiple people. A Shared Login can be useful for setting up proxy or group user accounts.
j. Link the user to one or more organizations: Each user must be linked to one or more organizations: either the Home organization if the user is internal, or a Customer organization or the PORTAL_ORG_UNIT if the user is a customer. (Once the user is saved as a member of the Home organization, the organization cannot be changed. Once a user is saved as a member of a Customer organization, the organization can be changed only to another Customer organization.) To link users to an organization, do one of the following:
Click Create an Organization to link a new organization to the user. Then follow the steps outlined in Creating a New Organization to create the new organization.
Click Link Existing Organizations to link existing organizations to the user. Select the organizations you wish to link and click OK.
k. Optionally, for customer users, link the user to one or more product categories now, or product categories can be linked later. See Linking Product Categories to User Accounts.
4. Click Save.

When a new user account is saved, an email containing a system-generated password and login instructions is sent to the user’s email address. To log in the first time, the user logs in using the system-generated password and is immediately prompted to change the password.

Import a User from a Directory Service

If a directory service domain is configured in FlexNet Operations, groups can be imported from the directory service and assigned roles. Users in an imported group can perform tasks allowed by the group’s roles and do not have to be added individually as FlexNet Operations users. However, if you want to give a domain user additional roles in addition to those granted by group membership, import the user and add additional roles as shown below.

To import a user from a directory service

1. Click Administer Operations, then Create a User. This link opens the Add User page.
2. On the Add User page, select User From a Directory Service.
a. Select one of the directory service domains that contains the information to authenticate this user, and then click Next.
b. Search for and select one or more users to import from the directory service. Select multiple users at one time only if you plan to assign them all the same roles. Only a small amount of user information will be imported from the directory service to the FlexNet Operations database. User authentication is done by contacting the directory service. Click Next.
c. The user to be imported is displayed. (Leave the Status of the new user Active.)
d. Assign at least one role to the user.
e. Click Finish.

When the new user account is saved, the external domain user can log in to FlexNet Operations using his or her credentials from the external domain directory service.
